HOW CAN YOU HELP?
Meets THERE ARE 8 MEETS, INCLUDING REGIONS. You can find the most current meet schedulehere. Parent help is vital to the success of the team! Parents are encouraged to cheer ALL runners at races and attend the race award ceremonies. Please consider volunteering for any race - volunteers need to arrive at the race venue before the team arrives (2 hours before meet) to make sure the tent, drinks, and snacks are ready for the team, especially on really hot and cold, gray days.
Tents/Tables At some of the locations the tent is the only place the team has to get out of the rain. Each meet needs a tent, table and two coolers (provided by the Spaghetti Feed Host Family) set up from the start. The kids can set them up and take them down, but we need parents to commit to getting these items to the meets. Families can volunteer for the first half/ second half or full season. For your convenience the family may store the tents and tables during the week so that they do not need to go out to the school to pick them up prior to each meet. Pick-up truck or large SUV recommended.
Snacks at Races - avoid finger foods, reduce the spread of germs This always receives a warm welcome from runners at a day of racing. Parents are needed for each race. Bring enough individually wrapped healthy snacks for 40-60 runners. Some ideas are individually wrapped juices, quartered bagels, quartered oranges, assorted fruit, snack bars, dried fruit. There can be no shared food/drink or common containers. Your runner can bring the snacks on the bus to the race or you can bring them. You can put them under one of our running tents that will be set up near the race course. ALLERGY ALERT: Do to life threatening allergies, please do not bring open containers of peanut based products as they may cross-contaminate with other snacks.
Pre-Race Spaghetti Dinners/ Team Coolers are back! We will start the season with some outdoor dinners and hopefully feel comfortable enough to move indoors later in the season. Spaghetti dinners are held the night before races. Parents are encouraged to sign up for these fun evenings. The dinner should end by 10 PM. You can expect up to 60 athletes but don't be scared away! It works really smoothly. You can choose to donate the cost of the feed (about $60) or the Booster Club will provide the ingredients. When the spaghetti feed is on a school night we have changed it to the night following the race instead so that there is not a homework/sleep issue for the runners. In addition, hosts will arrange to collect the two team coolers from the previous week's host. They will then fill the two coolers (one with water and one with sports drink) and deliver them to the meet on the following day.
Race Helpers Volunteers are needed for our host race. No experience is necessary! Please sign up at the parent meeting or send us an email! Plan to arrive at the race early to receive instructions.
Parent Communications With such a large team, we need parents that can send out emails, make phone calls to other parents when needed, manage Signup Genius and update social media platforms. This would be helpful in also finding volunteers that can help at an event. They would be provided the team roster with phone numbers emails and could set up a phone tree to get the word out. Team Sweatshirt Orders Liaison Once a “runner-created” design is chosen by the team, captains collect runner's money and order forms and pass to parent coordinator. Parent coordinator has the option of getting price quotes from sweatshirt companies in town--or can just go with the company used in the past--then taking the design and placing the order. You will handle the money transactions between the runners, school, and business. When orders arrive, volunteer will coordinate with captains, who will distribute during practice. This position starts immediately and ends once the order is received.
Photos and videos for the website and banquet are appreciated Kids love to watch videos of the races, see their pictures on Facebook, and exchange photos. Parents are needed to take photos or videos of runners so we can put together a photo show or video presentation for the banquet. The coaches could also use parents to video tape runners at races for video analysis by the coaches. The quickest way to get the photos up on the site is for YOU to upload photos to SmugMug. You can upload all your photos and then send us the link and we will post the album on the site. .
Spaghetti Dinner Shopper Shop for food and arrange to get it to the parent volunteer hosts each week.
Regions BBQ This has become a really fun end to the season. It takes place at the Regions race at Bartlett on the Regions Saturday race. We set up a Service tent, bring out 2 BBQs, purchase burgers, munchies and coolers full of drink, and cheer on all teams that run by. We start to set up before the race begins and the food is ready when the runners finish their race. We clean up before the Awards Ceremony that afternoon. This is for the Service High team only (but we do share). The Booster Club has a list of food and items needed.
Awards Banquet At the end of the season, there will be a themed awards banquet. The team captains and parents organize committees to decorate, set up, organize photo shows, gifts, and clean up. This is the time when we all get together to congratulate our athletes, issue letters and awards and celebrate a great season. There usually is a video/photo showing as well. All families are encouraged to attend this fun evening.
